Make the most out of UXinsight Festival 2025

General Festival info

  • What does the set-up of the Festival look like?

    This year’s conference marks the 9th edition of our UXR event.

    • [no sponsor program] – April 14 (in-person): half-day highly interactive program. Monday will take on a fresh twist in 2025, with even more focus on collaboration and turning insights into action.
    • [sponsor program] – April 15 and 16 (hybrid): conference days with talks, live Q&As, networking sessions, break activities, sponsor demos and more.

    All talks and Q&As on April 15 & 16 will be live broadcast and recorded during the Festival. Recordings will be available for all festival ticket holders for the entire year. The program on Monday, April 14, is not recorded.

  • Where does the Festival take place?

    City: Leiden, the Netherlands.

    The city is close to Amsterdam and famous for its university, museums, waterways, and quest for knowledge and freedom of expression. The historic canals, the beautiful buildings and alleyways have surrounded many who have made important discoveries over centuries.

    The Stadsgehoorzaal Leiden is a monumental building in the centre of Leiden. It was built in the 19th century as a concert hall in an impressive Neo-Renaissance style, rare in the Netherlands.

  • How do I get to the venue?

    It is easily accessible by train and car. From Leiden Central Station, it is a 15-minute walk to the Stadsgehoorzaal, or you can take any bus that stops at the Breestraat. You can park your car at P+R Haagweg or in one of the other (paid) parking garages in the city.

  • What is the time zone of the event?

    Central European Summer Time (CEST) – the live program will likely occur between 9:30 and 17:00 CEST

We ask you to fill out the following forms for organisational and promotional details:

For sponsors who have added an Expo booth to their package:

  • What is included in the Starter package? (applicable for all sponsors)
    • Logo on our website, screen and digital banner
    • Access to in-person event (2x)
    • Discount on extra tickets (1-4=40%, 5 or more=50% on regular pricing)
    • Mention in our newsletter, logo and link (4100+ subscribers) 
    • Mention via our socials (21.900+ followers) and dedicated social post
    • Add to the virtual goodie bag
  • Expo booth – what do we need to know?

    The expo booth space measures approximately 1 by 2 meters and includes two standing tables and electricity access. You can bring banners, displays, and marketing materials if you wish. If you have any doubts about measurements, etc., please contact Debbie.

    To get the most traction for your expo booth, we advise you to e.g. organise a game, have a fun activity or hold a demo. Every sponsor with a booth will have the opportunity to give a 30-second pitch on the main stage to let participants know why to visit their booth. Timeslots will be divided by UXinsight, and we’ll inform all sponsors about this.

    The stands are in the cafe and entrance foyer, where all break times and catering activities occur.

    Once the floorplan is ready, sponsors can choose their preferred spot. Selection priority will be based on the agreement signing date, with earlier sponsors choosing first.

    We will be at the venue around 7:30 CEST on Tuesday, April 15. You can set up your booth from that time onwards. Please let us know if you need to set up/deliver materials earlier (e.g. on Monday).

  • What does the process for the sponsored speaker slot look like?

    We’ve created a separate webpage for our sponsored speakers. Here, you and the speaker on behalf of your company can find all the information they need.

  • How do we get the tickets for the Festival?

    Please fill out the Details for in-person tickets form for each ticket included in your sponsor package.

    We’ll add them to our guest list and have a badge waiting for them at the registration desk on Tuesday April 15.

  • What to do when we want to order extra Festival tickets?

    We offer extra in-person Festival tickets with a discount (1-4 tickets 40%, 5 or more 50%)

  • How and when should we provide input for the Virtual goodie bag?

    Please fill out the Virtual goodie bag form before April 1.
